Duties of Managing Committee Officers, Committee Members, and Regular Members

     In addition to the duties outlined below all KYA managing Committee members and regular members are expected to uphold the mission and core values of the organization. All Managing Committee members are expected to attend at least 75% of all KYA meetings and take a lead role in managing at least one KYA activity. Outlined below are duties specific to the roles outlined below:

President - The President shall be the principle officer of the KYA and shall supervise and control all day-to-day business and affairs of the KYA. The President shall preside at all meetings of the membership. He/she shall have all such powers as may be reasonable be construed as belonging to the Chief Executive of a non-profit corporation. Other duties will include:

  • Serving as the youth liaison with the Shree Kshatriya Mitra Mandal and attending and reporting on Mandal meetings.

  • Keeping other officers abreast of upcoming events as well as important issues.

  • Actively soliciting funds from the community to support ongoing KYA activities.

Perform all duties incidental to the Office of the President and other duties as may be assigned by the Board of Trustees.

Vice President - The Vice President shall perform the duties of the President in the absence of the President or in the event of the President's inability or refusal to act. Other duties will include:

  • Chairing meetings where the president is unable to attend.

  • Assist President in overseeing organization activities.

  • Actively soliciting funds from the community to support ongoing KYA activities.

Perform all duties incidental to the Office of Vice President and other duties as may be assigned by the President or the Board of Trustees.

Secretary - The Secretary shall keep the minutes and records of the KYA in appropriate books and see that all notices are given in accordance with these By-Laws or as provided by law. Other Duties will include;

  • Taking attendance at meetings.

  • Keeping a list of all active members and their mailing and/or email address.

  • Distribute minutes of meeting in a timely manner.

  • Serve as treasurer at meetings where the Treasurer is unable to attend.

  • Actively soliciting funds from the community to support ongoing KYA activities.

Perform all duties incidental to the Office of Secretary and such other duties as may be assigned by the President or the Board of Trustees.

Treasurer- The Treasurer shall be responsible for all funds and securities collected and disbursed by the KYA in connection with KYA activities. He/She shall work with the Board of Trustee Treasurer to ensure financial accountability of the KYA. Other Duties will include: 

  • Formulate and maintain general budgets throughout the term in office.

  • Work with event coordinators to formulate and monitor specific budgets for major special events (e.g. Diwali Party, Picnic, etc).

  • Compile, review and approve all expense reimbursement requests prior to forwarding to the KYA Board of Trustee’s Treasurer for payment.

  • Authorized to veto any planned expenditures (with consultation from Board Treasurer) thought to be excessive or not appropriate.

  • Provide timely receipts for all contributions made to KYA.

  • Actively soliciting funds from the community to support ongoing KYA activities.

The Treasurer shall perform all duties incidental to the Office of Treasurer and other duties as may be assigned by the President or Board of Trustees.

Committee Members- Non-officer committee members shall be responsible for supporting organizational goals through taking a lead role in organizing at least one KYA activity and attending at least 75% of all managing committee meetings. Committee members should also solicit funds from the community to support ongoing KYA activities. Committee members may take specific responsibilities such as: 

  • Publicity Chair- Responsible for publicizing KYA’s goals, mission and upcoming events schedule.

  • Fundraising – Responsible for soliciting funds to support ongoing KYA activities.

  • Newsletter editor – Responsible for preparing and mailing KYA News to the Kshatriya Community.

  • Webmaster – Responsible for maintaining KYA’s web site (e.g. www.KYA.org).

  • New membership – Responsible for identifying and recruiting young people in the Kshatriya community and encouraging involvement in KYA and Mandal activities.

Active Regular Members: Active members shall be responsible for supporting KYA’s mission and core values through regularly attending KYA events and Managing Committee meetings.
